Scope and Content

This collection contains documents, press releases, news clippings, photograph, slides, and audio and visual media related to The University of Texas at Dallas Office of Communications efforts to promote the university. The University of Texas at Dallas Office of Communications is housed in forty-seven manuscript boxes, seven archival storage boxes, non-standard box (15.5x15.5x5), non-standard box (18x13x3), non-standard box (20x16x4), and one non-standard box (22x15x2,5). totaling 32.1 linear ft.

The collection is composed of several smaller collections that were in the custody of the Eugene McDermott Library, but are all created by the Office of Communications, or one of its predecessor offices. The archivist identified ten series, with the first being the Graduate Research Center of the Southwest (GRCSW) / Southwest Center for Advance Studies (SCAS) Press Clippings, and consisting of press mentions, and articles about the SCAS/GRCSW, the predecessor of UTD.

The second series is the UTD and Related News Publications and is further organzed into seven subseries: 1. UTD Advance; 2. UTD Audio News; 3. UTD Deadline; 4. News from UTDallas; 5. UTD on Campus; 6. The U.T. Dallas News; and 7. Other Academic News Publications

Subseries 1. contains copies of the UTD Advance, a news publication produced by UTD, that contains information about the campus, activities, people, and events. It lasted throughout the 1970s and 1980s.

Subseries 2. includes UTD Audio News, printed transcripts of a weekly phone recording, accessed by a dial-in number, presenting news about UTD.

Subseries 3. consists of the UTD Deadline, an official publication of UTD reporting on campus news, people, and events.

Subseries 4. houses the News from UTD, a weekly round-up of campus news and events, produced by UTD.

Subseries 5. contains UTD on Campus, a guide to events occurring at UTD of interest to the general public.

Subseries 6. includes The U.T. Dallas News, an official publication of UTD reporting on campus, news, people, and events.

Subseries 7. consists of publication form other academic institutions including The University of Texas System.

The third series is the UTD Office of Communications Guides, Schedules, Directories, and Calendars and is further organized into five subseries: 1. UTD Reports and General Information; 2. UTD Handbooks, Guidebooks, and Directories, 3. UTD Schedules and Calendars; 4. UTD Promotional Material; and 5. Media Lists and Releases

Subseries 1. contains reports and information about UTD’s financial endowment, history, academic progress, programs, and general information.

Subseries 2. consists of employee handbooks of procedures, student guidebooks, and campus faculty / staff telephone directories.

Subseries 3. includes UTD course schedules guides as well as calendars of events on campus and academic and university deadlines.

Subseries 4. houses promotional brochures and other material advertising UTD’s campus and its programs.

Subseries 5. contains lists of press releases issued by UTD, as well as media outlet distribution list.

Series four is the UTD Office of Communications Subject Files and is further organized into two subseries: 1. UTD Events and Programs; and 2. UTD Faculty, Staff, Visitors, and Lecturers

Subseries 1. includes background information used in writing press releases about events at UTD.

Subseries 2. houses background information used in writing press releases about people at UTD.

Series five is the UTD Press Releases and is arranged into two subseries: 1. UTD Press Releases – Chronological; and 2. UTD Press Releases – Subjects.

Subseries 1. contains press releases issued by UTD in chronological order.

Subseries 2. is further arranged into eleven sub-subseries: A. UTD Joint Projects; B. UTD Campus; C. UTD Educational Mission; D. UTD President Bryce Jordan; E. UTD and the Community; F. UTD Conferences, Lectures, and Symposia; G. UTD Cultural Events; H. UTD Social Events; I. UTD Studies and Research Activities; J. UTD Gifts and Grants; and K. Other Organization Press Releases

Sub-subseries A. contains press releases about UTD participation in joint projects with other institutions.

Sub-subseries B. consists of press releases about the UTD Campus and its facilities.

Sub-subseries C. houses press releases related to UTD’s educational efforts and programs.

Sub-subseries D. includes press releases about UTD President Bryce Jordan and his activities.

Sub-subseries E. contains press releases about UTD involvement with the boarder community and its constituents.

Sub-subseries F. consists of press releases for conferences held at UTD.

Sub-subseries G. houses press releases about cultural programs and activities held at UTD.

Sub-subseries H. includes press releases about parties and receptions held at UTD.

Sub-subseries I. contains press releases about large scale scientific studies UTD has participated in as well as the university’s research activities.

Sub-subseries J. consists of press releases regarding financial gifts to as well as research grants secured by UTD.

Sub-subseries K. houses press releases issued by NASA, the Regents of the University of Texas System, and the University of Texas Coordinating Board.

Series six is further arranged into five subseries: 1. UTD Press Clippings (Chronological); 2. Annotated UTD News Clippings; 3. UTD Press Clippings (Topical); 4. UTD Request for Press Coverage/Press Invitations; and 5. UTD Advertising

Subseries 1. contains press clippings about UTD arranged in chronological order.

Subseries 2. consists of press clippings about UTD annotated by The Office of Communications.

Subseries 3. is further arranged into three sub-subseries: A. UTD Activities and Programs; B. UTD Performing and Visual Arts; and C. UTD and the Community Sub-subseries A. includes press coverage of UTD academic activities and programs. Sub-subseries. B. houses press coverage of musical and dramatic performances, film exhibitions, and art exhibits at UTD.

Sub-subseries C. contains press coverage of UTD and relations with the broader community.

Subseries 4. consists of invitations to media outlets to cover events at UTD, and requests from media outlets about UTD.

Subseries 5. includes advertisements produced by the Office of Communications about UTD.

Series seven is the Office of News and Information and houses documents and material produced by UTD’s Office of News and Information, which served as the part of UTD that interfaced with the media during the 1990s. Its functions were later rolled into the Office of Communications.

Series eight is the UTD News Summaries and consists of digests and summaries of news mentioning UTD, produced by the Office of Communications.

Series nine is the Photographic Media is and is further arranged into three subseries: 1. Photographs; 2. Negatives and Other Transparencies; and 3. Slides

Sub-subseries A. contains negatives and transparencies of UTD campus buildings and facilities.

Sub-subseries B. consists of negatives and transparencies of people associated or interacting with UTD.

Sub-subseries C. includes negatives and transparencies of events occurring on the UTD campus.

Sub-subseries D. houses negatives and transparencies of UTD theatrical productions, musical performances, and art displays.

Sub-subseries E. contains negatives and transparencies of UTD athletic competitions and sports.

Sub-subseries F. consists of negatives and transparencies used by the Office of Communication in producing material about UTD.

Subseries 3. includes slide of people, places, and events at UTD.

Series X. is the UTD Office of Communications Multimedia and is arranged into five subseries: 1. BetacamSP; 2. VHS Tapes; 3. DVDs; 4. MP3 Audio; and 5 CD-ROM.

Subseries 1. houses BetacamSP tapes including the groundbreaking of a UTD/Texas Instruments joint facility, and B-roll of the campus.

Subseries 2. contains VHS Tapes showing various events and guests visits to UTD.

Subseries 3. consists of DVDs showcasing a number of events, media appearances, participation in professional productions, by people associated with UTD.

Subseries 4. includes MP3 files (stored on CD-ROMs) of the 40 at 40 Lectures, a series of lectures by UTD Faculty held in connection with the 40th anniversary in 2009.

Subseries 5. houses CD-ROMs containing photographs and documents created by the Office of Communications in the course of its duties.

The bulk of the material in the collections is focused around the Office of Communications efforts in issuing press release about UTD, as well as the collection of articles about it.

Note to the Researcher

The materials in this collection were held in a number of collections stored in the Eugene McDermott Library. The collections were placed together as they reflect the functions and actions of the Office of Communications, or its predecessor agencies.

Material Removed List

Duplicate copies of material and extremely damaged material that was available from other sources was deaccessioned. Additionally, the SCAS/GRCSW clippings were pasted into scrapbooks, and could not be removed without completely destroying the material were not placed in the collection, as they are available from other sources.
